Secure Email Delivery

Overview

Secure Email Delivery is a HIPAA-compliant feature of the InfraWare 360 platform that allows for delivery of completed reports via email to any valid email address. Secure Email Delivery is offered free of charge to InfraWare customers and can be sent from both the InfraWare Management Console (IMC) and InfraWare Transcription Client (ITC). Users receiving a Secure Email Delivery will receive an email when a document has been completed. This email will contain basic (non-PHI) information about the document, along with a link to a secure site for downloading the document. Users can decide to opt-out of these emails if they so choose. Administrators may also define a list of email addresses that should never be targeted.

Access & Registration

Secure Email Delivery supports both platform users (i.e., users who already make use of the InfraWare 360 platform) and external users. Platform users will use their existing InfraWare credentials to access the Secure Web Portal to download their documents, while external users will be directed to a delivery portal following registration. External users will be required to register prior to accessing a completed document. The user will first be asked to verify their contact information and select a password. A confirmation email will then be sent to the user’s email address, which will include a confirmation link. Registration will be complete after clicking the confirmation link. 

If an external user forgets their password they are able to reset it themselves. This can be done by clicking on the link to go to their secure document, which will take them to the email address / password screen. Between the password box and the Login button, there is a "Forgot my password" link. If the user clicks this link, they will be walked through the process to securely reset their password.

Deliveries

Secure Email Delivery works like other InfraWare 360 delivery options, which means that a separate delivery can take place for each job, or a batch of jobs can be sent daily. For individual deliveries, the InfraWare 360 platform will allow the User to download the job in a format of their choosing (PDF, DOC, RTF), while batch deliveries will be delivered in the format defined in the Delivery Plan.

Expiration

Documents will be available to download for 30 days. Users and InfraWare administrators may also manually remove documents at any time. Removing a document will remove the targeted user’s access to the document, but will have no effect on the original InfraWare job.
