How to Adjust Transcriptionist Permissions (Access Rights)
Summary
In this guide you will learn how to adjust a Transcriptionist’s Permissions (also called Access Rights) in the InfraWare Management Console (IMC).
Before You Begin
InfraWare 360 provides many powerful features to influence the order jobs are routed to Transcriptionists.
You will need the following before you begin:
An Administrator login ID and password for the IMC
A Transcriptionist already created in the IMC
Tasks
Log into the IMC at www.InfraWare.com/IMC
Click the Administration tab, and select the Users sub-tab.
Click the link of the name of the Transcriptionist in the list for whom you would like to adjust Permissions. This will bring up the User Settings page.
Scroll down until you see the Roles with Account heading. Immediately below this, click Transcriptionist Settings to open the Transcriptionists Settings page.
On this page you can adjust various Permissions for the Transcriptionists including their Basic Settings, Transcriptionist Pay Rules, Pool Memberships, Masks, Access to Completed Jobs, and Transcriptionist Access Rights.
Basic Settings
Under the Basic Settings heading, the first box on the left of the Transcriptionist Settings page, there are various settings. First, you can choose the maximum number of checked-out jobs and then choose the daily line quota for your transcriptionist. You can also determine how long to wait until sending returned jobs under the "Don't send returned jobs for: minutes".
Then you are able to enter an external ID and choose whether or not to hide the job card in the ITC from your Transcriptionist and make your Transcriptionist a QA administrator. Lastly, you are able to decide whether or not to allow your Transcriptionist to embed messages to an author or facility and adjust QA settings for your Transcriptionist. When you are finished, scroll all the way down to the bottom of the page.
When you are finished, scroll all the way down to the bottom of the page and click Save All.
Immediately below the heading, click Choose. This will bring up the “Edit QA Pool Membership” page.
Follow the three simple step instructions on the screen to add the Transcriptionist to different QA Pools. When finished, click the Save button at the bottom of the screen. This will save your settings and return you to the Transcriptionist Settings page.
Transcriptionist Pay Rules
In the box on the top right, there are three headings: Transcriptionist Pay Rules, QA Pay Rules, and Licensing.
Below the Transcriptionist Pay Rules heading, click Manage. This will take you to the Transcriptionist Pay Rules page where you can edit or add and assign a pay model. When finished, click Return.
Next is the QA Pay Rules heading. The QA Pay Rules is similar to the Transcriptionist Pay Rules, and once again you click Manage. This will take you to the QA Pay Rules page where you can edit or add and assign a pay model. When finished, click Return.
Under both the Transcriptionist and QA Pay Rules headings there is a New link. Clicking on this link allows you to create a new pay model. To learn more on how to create pay models, see KB233.
Lastly, you are able to assign an ITC license to your Transcriptionist if you choose under the Licensing heading.
Pools
Scroll down until you see the “MT Pool Memberships” heading, under the Pool Memberships heading, on the right side of the page. Immediately below this, click Choose. This will bring up the “Edit MT Pool Membership” page.
Follow the three simple step instructions on the screen to add the Transcriptionist to different MT Pools. When finished, click the Save button at the bottom of the screen. This will save your settings and return you to the Transcriptionist Settings page.
If your Transcriptionist will also be doing QA work, you may assign them to a QA Pool. When back at the Transcriptionist Settings page, beneath the “MT Pool Memberships” heading, you will see the “QA Pool Memberships” heading.
Immediately below the heading, click Choose. This will bring up the “Edit QA Pool Membership” page.

Masks
Now you may want to set up the Transcriptionist Masks. Masks will influence the jobs routed to the Transcriptionist in any work session. More.
When back at the Transcriptionist Settings page, under the “Masks” heading on the right side of the page, you will see the option to Manage, and two checkboxes beneath. The checkboxes allow you to enable the Transcriptionist's ability to control their own Masks; while the Manage option lets you add or delete masks at your discretion.
To add a Mask, click the Manage link. You will be brought to the Masks page. An entry labeled Mask 1 will be on the page. Adjust the Criteria in the drop down boxes, and check the box under the heading Active to enable the mask.
Clicking the green “+” symbol will allow you to add more masks, while clicking the respective red “X” symbol will delete the mask. When you are finished adding masks for the Transcriptionist, click “Save Masks”. This will bring you back to the Transcriptionist Settings page.
You can manage a Transcriptionist’s ability to access completed jobs. These settings are found beneath the Masks heading on the Transcriptionist Settings page, directly under the heading “Access to Completed Jobs”.
Completed Jobs
Below the Access to Completed Jobs heading there are four different options to choose from. The option “Allow access to completed jobs based on Transcriptionist Access Rights” is the only option that makes use of special settings, which we will set in upcoming steps. Select one of the four options to change or adjust the Transcriptionist's Access to Completed Jobs, and then click the Save button beneath the options.
Transcriptionist Access Rights
Here you can specify for which authors and documents a Transcriptionist may transcribe.
Under the “Transcriptionist Access Rights” heading, there are two subheadings: Authors and Document types. Each has a checkbox beneath the subheading. Leaving the two boxes checked allows a Transcriptionist to transcribe any work. Unchecking the Author box or Document Types box removes that global permission and allows you to specify what work they can access.
To set up these restrictions, uncheck the box next to the subheading Allow access to all Authors’ work in Queue. The page will then refresh to update information. Then, after scrolling down to the Authors heading, click Choose next to the appropriate access level you wish to edit. Follow the instructions on the page that appear, and when finished, click Save. This will bring you back to the Transcriptionist Settings page where you can assign more restrictions by Author, or move on to restrictions based on Document Type.
Unchecking the Document Types box allows you to specify what work they do based on a specific Document Type, Document Category, or Facility. To set up these restrictions, uncheck the box located next to the subheading Allow access to all Document Types in Queue. The page will then refresh to update information. Then, after scrolling back down to the Document Types heading, click Choose next to the appropriate access level you wish to edit. Follow the instructions on the page that appears, and when complete, click Save. This will bring you back to the Transcriptionist Settings page.
If finished adjusting your Transcriptionist’s permissions appropriately, click the Return button at the bottom of the Transcriptionist Settings page. This will return you to the list of Users.
